Freshers' Fair is the biggest event of the term! 

Packed with stalls promoting the best aspects of Oxford’s student life, it really is not to be missed. For new students, it's the best way to kickstart your university years by getting involved in the huge range of student activities we offer. For clubs and societies, it's the single biggest opportunity to promote yourselves, share your passion and engage with like-minded individuals.

For returners the Fair is a chance to discover something you've been missing out on - so why not join us, too? Each year the Fair gets bigger and better than ever, with hundreds of club and society stalls offering memberships, external companies advertising their services, and commercial outlets giving away more freebies than you could possibly carry! Plus, the University and Students’ Union will be there to show you what we can offer during your time as a student and beyond.

Fresher Fair is open to all Oxford students, regardless of that year you are in! Just show your bod card to get in, it all depends on the capacity when you arrive.

  • £57.50 for a single backboard (approx W 100cm x L 200cm) including 2 x poles & 2 x feet, price includes VAT and 1/2 metre of Velcro
  • £99.50 for two backboards (approx W 200cm x L 200cm), these do not require feet, price includes VAT and 1/2 metre of Velcro
  • Once a booking is made and paid for, the panels will be delivered and set-up behind your stall on set-up day, and then dismantled at the end of the Fair
  • You must book any backboards by 27th September.
  • Bookings placed after this date will be subject to an additional late booking charge of £15. If ordered on the day the additional payment will be £20.
  • If you cancel your booking you will receive a refund minus an administration charge of £20. You are entitled to a full refund under the distance selling act if you cancel within eight days of your booking.
  • Any damaged panels will be charged for at the end of the Fair.

When is Freshers Fair 2019?

Freshers Fair 2019 will be taking place on Wednesday the 9th and Thursday the 10th of October 2019.

 

When can I set up my stall?

Set up day will be on Tuesday 8th October. You will receive your set-up time in your stallholder information pack (this will be sent to you via email a couple of weeks before the Fair).

 

How do I access the Fair?

You will receive the following number of lanyards which allow access to the Fair via the Stallholders' Entrance on Merton Street:

1 table - 2 lanyards
2 tables - 2 lanyards
3 tables - 3 lanyards

You will receive your lanyards on set-up day (Tuesday 8th October) and must keep them for the duration of the Fair.

If another member of your club/society is due to take your place on the stall, they can gain entry at the Stallholders’ Entrance by using their BOD Card and collect the lanyard from you at the stall. Anyone found to be behind a stall without a lanyard, will be asked to leave by a Steward.

 

What should we do if we don't have people available to run our stall for the whole of the Fair?

It's best for your stall to be supervised throughout the Fair to maximise your impact. If you must temporarily leave your stall please do not leave your sign-up sheets on the stall.

 

How big are the stalls?

You will be provided with a stall comprising of the number of tables you have booked (1,2 or 3). Each table is a regular exam desk and measures 76x48cm. Stall tables are arranged end-to-end.

 

Can I decorate my stall?

Yes, but please bear in mind that you have agreed to the Stallholder Regulationsand that some items are strictly prohibited at the Fair. You can hang banners from the front of your stall, or across the top using canes for support, but you can't attach anything to the walls of Exam Schools. Any pop-ups, backboards, flags or banners must be no higher than 2 metres and must not encroach on the space behind neighbouring stalls.

Backboards are available for hire from the CP Group (please remember that you can only hire a backboard of this size if you have 2 or 3 tables.). Details are as follows:

Can I use my laptop for people to sign up/to show a promotional film?

Yes, but only powered by your battery. Use of the plug sockets at Exam Schools is prohibited.

 

Can I display anything I want on my stall?

No. Please see the Stallholder Regulations for more information. Stalls will be randomly checked throughout the Fair and non-permitted items will be removed. Failure to comply with the Stallholder Regulations could result in your removal from the Fair.

 

Can I amend my booking?

Yes, please email fair@oxfordsu.ox.ac.uk to amend your booking.

 

Can I cancel my booking?

Yes, cancellations received before 31st August will receive a full refund. Cancellations received after this date will not receive a refund.

 

Set up and clearing away stalls

It is imperative that somebody from your club/society is there to take charge of your stall during set-up on Tuesday 8th October and again from 4pm on Thursday 10th October to clear away your stall and return your lanyards.

Please note: Exam Schools gets cleared of all belongings by 5pm on the Thursday. It is your responsibility to ensure that your property is collected before the end of the Fair. Neither Oxford SU nor Exam Schools will be liable for any property left on the premises after this time.

Freshers FAQs 

Oxford SU will allocate your college with a time slot for when you are to attend the Fair. More information will be available from your JCR/MCR or College Secretary closer to the time, alternatively, drop us an email to fair@oxfordsu.ox.ac.uk for more information.

Where is the Freshers' Fair held?

The Fair is held at Exam Schools, which is at the East end of the High Street. When attending the Fair, you should use the main entrance on the High Street. 

 

How do I access the Fair

You will need to be wearing a coloured wristband to access the Fair. Wristbands will be available from either a member of your Freshers’ Fair Committee or the College Secretary.

 

Can I purchase extra tickets for my friends/parents

No, sorry! 

 

How much does it cost

It's FREE for all Oxford University Students! 

 

I missed my time slot - what should I do

If you miss the timeslot allocated to your College common room, you can visit the Fair anytime during opening hours and use your BOD Card to gain entry. Please be aware that if the Fair is very busy, you may need to wait before being allowed in.  

 

Who's going to be there

With something for everyone, the Fair promises to be your one stop for information about Oxford SU campaigns, how to get involved with YOUR Student Union, and lots of information on what Oxford life has to offer. Plus FREE STUFF and so much more! 

In addition, we have approximately 400 clubs and societies exhibiting, and a number of commercial companies with great deals for students. 

 

Can I bring food or drink

You can't bring your own food and drink, but there will be plenty of free food available in the commercial marquee. Water dispensers are located around the Exam Schools. 

 

Do I have to be a Fresher to attend

No, if you are not a Fresher you can attend the Fair. You just need to remember to bring your BOD card to show at the entrance. Please be aware that if the Fair is very busy, you may need to wait before being allowed in. 

 

Can't attend the Fair

Examination Schools

Entrances

There are two entrances to the Exam Schools, both on High Street, one is accessible the other is not level access.

Main entrance

The main entrance is located off High Street (underneath the pillared archway). There are three steps up and an additional step to pass through the doors, which are not automated.  There is no railing either.

Accessible entrance

Located adjacent to the main entrance (and signposted) is the accessible entrance.

It's ramped, so go up the ramp and pass through the archway.  On the left-hand side, you will see a buzzer.  Press for the Exam Schools, and the large glass door in front of you will open (although there is a delay- so don’t try and force it).

There is then a lobby with a platform lift.  Go past this and up a small ramp.  This will lead into the main building.

 

Lifts

There are two lifts located in the Exam Schools.

The main lift is located in a small corridor located just after the large double height entrance lobby, on the right-hand side, before you reach the small seating area in front of rooms 6 and 7. 

At the end of the small corridor is the lift, this services the upper floor.  As you exit the lift you will be faced with a small landing area, immediately to the right is a wooden door. Pass through this door (not powered and with an original handle) and you will enter the large North School.

Near the accessible entrance is a secondary lift.  This platform lift services the lower ground floor where there is an additional accessible toilet.

 

Facilities

There are two accessible toilets located in the Exam Schools:

In the main building, there is one located just off the long corridor near to the main staircase.

As you pass the staircase it is immediately on the right-hand side.

The second accessible toilet is located in the basement, there is a platform lift located at the main entrance point to the Exam Schools.  Take the lift down to Level  ‘-2’, as you exit the lift the toilet is located on the left-hand side.

 

Parking

There is no university-owned parking for the Exam Schools. 

There is a strip of pay and display bays located on Merton Street (behind the Exam Schools).

Merton Street is very old and cobbled and the paving is highly cambered and patchy.

There are also several disabled bays in Oriel Square (at the end of Merton Street), from here head to High Street to avoid the ancient paving.

To reach either of these continue down High Street from Magdalen Bridge and take the first turning on the left-hand side, you will pass by the Exams Schools quad, turn the corner and the pay and display is on your left-hand side, follow the road to the end for the disabled bays.
