- Voting Period Closes: Voting open for one week, so will close between 10th–12th March 2026
Week 3 Conference
Full Timeline Before the Meeting
Motion Submission
Deadline: Tuesday 20th January 2026
If you want to bring a motion to Conference, you'll need to submit it by this date. Motions must:
- Have been passed at your Common Room meeting or RepCom, OR
- Be proposed and seconded by 4 other Conference members or Officers of the SU
All motions require an Equality Impact Assessment and must be submitted via the SU website at least 10 working days before the Conference meeting.

Risk Assessment
Completion: By Tuesday 27th January 2026 (morning)
The Trustee Board of the Students' Union will conduct a risk assessment of all submitted motions, focusing on legal, financial, reputational and representative impacts.
Meeting Notice and Initial Agenda
Publication: Tuesday 27th January 2026 (afternoon)
The date and initial agenda for the Conference will be published with at least 7 days' notice before the meeting. This ensures Common Room representatives have time to consult with their members if needed.
Amendment Submissions
Deadline: Monday 2nd February 2026, 10am
If you wish to propose amendments to any motions, these must be submitted by 10am on the day before Conference.
Final Agenda
Publication: Monday 2nd February 2026 (afternoon)
The complete agenda, including any amendments, will be published on the afternoon before Conference.
The Conference Meeting
Date: Tuesday 3rd February 2026
Time: 5:00pm - 9:00pm (extended hours due to Elections Hustings)
Format: In-person meeting, HB Allen Centre (near Keble)
All students are welcome to attend, observe and speak at Conference. Voting is reserved for Common Room representatives and takes place online after the meeting.
After the Meeting

Deadline: Up to Thursday 5th February 2026
Motions for voting will be published within 48 hours of the Conference meeting ending.
Online Voting Period
Opens: After Conference concludes
Closes: Between 10th and 12th of February 2026
Voting will be open for one week. Only Conference members (Common Room representatives) can vote on Conference Mandates and Accountability Actions.

About Conference Meetings
During each Conference meeting
- Each motion has a maximum of 30 minutes for discussion
- The Chair will invite speakers for and against each motion
- Votes on amendments may be taken in the room
- Final votes on motions will take place online after the meeting
Conference can make three types of decisions:
- Conference Policy - Setting a position deemed representative of students (requires consensus)
- Conference Mandate - Directing the SU to take specific actions (requires simple majority vote)
- Accountability Actions - Motions of censure or no confidence (requires two-thirds majority)
