How many Students do you expect to attend Freshers Fair?
We expect to see 10,000 students across the 2 days. We operate a ticketed entry at Freshers Fair, meaning each of the colleges that make up Oxford University are given tickets to attend at specific times during the fair. This avoids quiet periods, ensuring a steady flow of students across the duration of the fair which means you have plenty of time to time to talk to the students!
Where is Freshers Fair held?
At Oxford University Examination Schools. 75 - 81 High St, Oxford OX1 4BG
Is there onsite parking?
There is no onsite parking. Please see available car parks in Oxford here
What time will the students enter during the fair?
Students have a ticketed entry to the fair
Wednesday 4th first entry at 10am
Thursday 5th first entry at 9am
When can I set up my stand?
Once you book, you will be given either a time slot to set up your stand on Tuesday 3rd October. This is recommended if your stand will take a significant amount of time to set up or if you have a lot to unload. If you are unable to attend on Tuesday, you can set up your stand from 8am on the morning of the fair. Your stand will need to be ready for opening which is 10am on the Wednesday and 9am on the Thursday.

What is the earliest time I can gain access to the building / marquee on the mornings of the Fair?
8am on both days
What time do I need to set down my stall at the end of each day?
6pm on both days
Can we leave valuables on our stand overnight?
The building and marquee will be locked up overnight but we would advise you to take valuables with you. We cannot except responsibility for anything left on your stand overnight.
What can I hand out on my stand?
If you are located in the commercial marquee, you can hand out, food drinks, freebies. If you are located in the Exam Schools building, you can hand out freebies/ literature. Food and drink is not permitted in the Exam Schools building
What can I not have on my stand?
Stall holders cannot use their stand to promote a third party organisation or distribute material on behalf of a third party organisation. No advertising, including company logos, is to be present on material and/or literature unless it is from an organisation from which we have received a booking.
If you are located in the Exam Schools Building you cannot have food, drinks, sweets, aerosol sprays, stickers, balloons or fluids of any nature. These items cannot be used by stallholders or given out to attendees.
Can I play music?
You can play a low level of music from your stand.
Do you provide power?
Do you provide a table?
Do you provide backboards?
We don’t, but you can book backboards directly from the CP group: firstname.lastname@example.org
Do you provide Wi-Fi?
We are unable to provide wi-fi.
Where can I buy lunch during the fair?
The Examination Schools are located on Highstreet where a number of cafes can be found. A 5-minute walk will take you further into the city centre where you can find many high street restaurant chains.
Do I need my stand need to be staffed at all times?
We do require your stand to be staffed at all times. This allows the students get the best experience from the fair. It can be quite disappointing if a student has planned find out specific information from your stand but there is no one there to answer their questions when they arrive.
